Sell off-plan, collect into escrow, hand over with the books right

Units, reservations, sale agreements and payment plans. Instalments fall due by date or as the building rises, buyer money goes into the project's escrow account, and handover or cancellation posts itself, with VAT, ageing and project profit intact. Built around Oman's escrow law, with tax presets for Oman, the UAE and Saudi Arabia.

One project, every unit on it

Set the project up once, then sell from the board

Every development is a project in your books. Its buildings, units, rules and escrow account sit in one place, and every agreement reads from them.

Units register

Buildings or phases, then floors and units with use, area, view and list price. Import the whole register from Excel. Each unit moves from available to reserved, booked, sold and handed over.

Reservations

Hold a unit for a buyer against a holding deposit. If the agreement isn't signed in time, the reservation lapses by itself and the unit is free again. The deposit is refunded or kept, as the project decides.

Sale agreements

Joint buyers, the price and any discount, which waits for approval when Approvals is on. Signing books the unit and builds the payment schedule, with the holding deposit taken off the first instalments.

Project rules

How long a reservation holds, the late charge and its grace period, what a cancellation keeps, the escrow retention and the advertising cap. Each agreement copies the late-charge and cancellation rules, and you can change them on that agreement.

Payment plans

Instalments that fall due as the building rises

A plan is a list of percentages that adds up to exactly 100%. Each line falls due on signing, a number of days after it, when the building reaches a stage, at handover, or months after handover.

  • Building stages follow the contractor's certified progress when Construction is on, even when the contractor is another company in your group. Otherwise the consultant's progress certificates are entered by hand
  • A stage instalment falls due on the first reading at or above its stage, plus the days to pay
  • Change the schedule of a signed agreement: lines already invoiced stay, and the total must still equal the price
  • Changing a plan never changes an agreement that has already been signed
Billing and collections

Invoice what is due, collect it into escrow, chase what is late

The project's To invoice list shows every instalment whose date, stage or completion has been reached. Invoice them in one go, one sales invoice each, with VAT by the unit's tax rule.

  • Payments go into the project's escrow account and settle the buyer's oldest invoices first
  • Late charges are counted by day after the grace period and shown as they build up. They post only when you choose, and you can waive part
  • A buyer statement with every invoice, payment and credit, then the instalments still to come. Print it or email it to the buyer
  • Collections ages what is overdue (1 to 30, 31 to 60, 61 to 90 and over 90 days) and emails a reminder in one click

Escrow

Know what you may withdraw before you ask the bank

The escrow register follows Oman's escrow law (Royal Decree 30/2018 and Ministerial Decision 72/2019) by default. Every rule can be changed per project.

  • A construction withdrawal needs the consultant's certificate reference, and with Paperless on, the certificate attached before it is released
  • Advertising withdrawals are capped at 3% of the buyer money received
  • Retention of 5% of each unit's price is held for a year from its title registration
  • When the bank releases money, record it and a fund transfer moves it to the operating account. Never more than is free
  • A quarterly escrow statement: opening balance, buyer money in, refunds, releases by kind and closing balance
Handover and cancellation

Revenue and cost land on the day the keys change hands

Handover follows a checklist: every instalment due before handover invoiced and paid, the building's completion certificate, the buyer's signed snag inspection, title registration and the keys date. Then one journal posts the sale.

  • The price becomes revenue; what the buyer has been invoiced so far stops being an advance, and instalments still to come become a receivable
  • The unit's cost is its share of the building's cost by floor area. It uses the estimate while the building is open and the actual cost once it is closed
  • Cancel an agreement and keep a share of the price, 10% by default and never more than the buyer has paid. The rest is refunded from escrow, every invoice is credited with its VAT, and the unit is available again
  • With Approvals on, a cancellation waits for someone with the right to approve it

Every building against its estimate

Land, contractor certificates and fees are ordinary purchase invoices and journals. Link each one to the building it belongs to, and you see estimated against actual cost, what has gone to cost of sales and what is still in stock.

Property development questions

Frequently asked

Each project has a tax table by use: a home's first sale, a home resale, a shop or office, and land. A preset fills it for Oman, the UAE or Saudi Arabia, and every entry can be changed. The Oman preset follows the Oman Tax Authority's real estate VAT guide: a developer's first sale of a home at 5%, a resale and bare land exempt, a shop or office at 5%. VAT goes on each instalment invoice. Check the table with your tax adviser; an entry can also be left "to confirm", and its instalments then can't be invoiced until it is set.

At handover. Until then every instalment invoiced is a buyer advance, a liability. At handover the price becomes revenue and the unit's cost goes to cost of sales. Recognising revenue over the construction period (IFRS 15) isn't available yet.

By default, Oman's: Royal Decree 30/2018 and Ministerial Decision 72/2019, with the advertising cap at 3% of buyer money and a 5% retention for a year after each unit's title is registered. Each project can change them. Accuracy keeps the register; there is no bank connection, so when the bank releases money you record it.

You keep a share of the price, 10% by default and never more than the buyer has paid, and the amount can be changed with a reason. Every instalment invoice is credited with its VAT, the kept part becomes cancellation income, the rest is refunded from the escrow account, and the unit is available again. A sale that has been handed over can't be cancelled.

On Professional you pay $50 a month for each company that switches Property Development on, and the screen tells you before you switch. On Starter, Business and Enterprise one $50 add-on covers the subscription.

A few things, plainly. Buyers pay in your base currency only. Printing is in English only, with no Arabic layout. A company that sends e-invoices through Accuracy can't invoice instalments yet. There is no bank connection for escrow. And leasing, service charges for owners' associations and broker commission per unit aren't built.
